How to Name a PDF File: Tips for Submitting and Sharing
Key points
- Follow any specified format
- Use a clear, short name
- Avoid personal information and "final"
The file name of a PDF is the first thing the other party sees. Keep it clear and free of unnecessary information.
First, check for instructions
Some recipients set a file naming rule, such as "student ID_name". When there is one, always follow it.
Tips when there is no rule
- Use a name that tells what it is. Examples: "resume_2026", "report_economics".
- Keep it short. Long names get cut off when displayed.
- Half-width letters, digits and underscores are safe. In some environments Japanese characters and symbols can turn into garbled text.
- Put dates in as numbers, like "20261020", to make sorting easy.
What to avoid
- Vague words such as "final", "final version" or "final final".
- Names with many spaces or symbols.
- Unneeded personal information such as an address or phone number.
Check the properties too
Once the file name is tidy, also check the title and author stored inside. View and Remove PDF Properties lets you check and remove them.
When sending a redacted PDF
Make sure the original and the redacted PDF can be told apart by name, so you are less likely to send the wrong one. Black Out (Redact) Parts of a PDF saves as "original name_redacted".
Use "View and Remove PDF Properties (Author, Title)" (free)Tools that go well with this
- Black Out (Redact) Parts of a PDF: Drag over the parts of a PDF you want to hide and black them out. Redacted pages become images, so the text underneath is gone.
- Compress PDF: Shrink a PDF to fit under a size you choose, for upload limits.
- Extract or Delete PDF Pages: Keep only the pages you need, or remove the pages you don't.
