Checklist for Submitting or Sending a Watermarked PDF
Key points
- Does the watermark match the recipient?
- Check the body is readable in the preview
- Check size and file name too
Before sending a watermarked PDF, checking the points below gives you peace of mind.
Checklist
- The watermark text matches the recipient and purpose. Check that another company's name is not in it.
- The body is readable. Check it in the preview of Add a Text Watermark to PDF.
- Important information is not hidden by the watermark, such as names, numbers and amounts.
- The date is right. Be especially careful with a dated watermark.
- The file name is clear, such as "Contract_forCompanyA.pdf".
- The size is within the recipient's limit. If large, shrink it with Compress PDF.
- The recipient's email address is right.
Make one per recipient
When sending the same document to several recipients, change the watermark for each, such as "For Company A submission" and "For Company B submission".
Combining several documents
To combine watermarked documents into one PDF, use Merge PDFs. Add the watermark to each before combining.
Adding page numbers
For long documents, adding numbers with Add Page Numbers to PDF makes communication easier.
After sending
- Keep a record of the email or upload.
- Keep the original PDF separately instead of deleting it.
Tools that go well with this
- Add Page Numbers to PDF: Add page numbers to a PDF, choosing position and style.
- Compress PDF: Shrink a PDF to fit under a size you choose, for upload limits.
- Merge PDFs: Combine several PDF files into one, in the order you choose.
