What a PDF Watermark Can and Cannot Do
Key points
- A watermark deters; it does not prevent
- It can be removed or cropped out
- For truly sensitive material, rethink how you share it
A watermark is handy but not all-powerful. Know what it can and cannot do.
What a watermark does
- Shows that it is a copy.
- Shows the purpose or who it was given to.
- Acts as a psychological deterrent to unauthorized use.
What it cannot do
- It cannot fully prevent removal. PDF editors or image editing can strip it out.
- It can be cropped out. A single mark disappears if the image is trimmed.
- It does not make the content unreadable. For information you do not want read, the key is not to hand it over at all.
To make it a bit stronger
- Choose "Repeat across the page" in Add a Text Watermark to PDF.
- Put the recipient and date in the text.
- Use gray or red so it is not close to the paper color.
When you really need protection
- Leave out what need not be shown (black it out, do not photograph it).
- Limit who receives it.
- Review how you share (expiring links, passwords).
- This tool cannot set a password.
Downsides of watermarks
- They can overlap text and figures and hurt readability.
- Too strong looks poor. Check the preview.
The original file
Keep the original PDF separately before watermarking. This tool cannot remove a watermark from a watermarked PDF.
