What to Do When a Receipt Has a Mistake or Is Lost
Key points
- Fix mistakes by making a new receipt, not by editing
- Make a reissue clearly marked as a reissue
- Avoid issuing twice and causing confusion
A receipt is an important record of a payment. When you find a mistake or lose one, stay calm and handle it step by step.
If the name or amount is wrong
- If you have not handed it over yet, simply make a new one.
- If it has already been given, contact the other person, ask them not to use the old one, and give them a new receipt.
- Do not alter the amount after the fact. It leads to trouble.
With Create a Receipt PDF you can re-enter the details and make a new one right away.
If someone says they lost the receipt
- The issuer is generally said to have no duty to reissue. Still, it is kind to help when the other person is in trouble.
- When you reissue, write something like "Reissued" in the description or margin so it is not counted twice.
- Note the reissue in your own records too.
If you cannot issue a receipt
- If you were paid by bank transfer, the bank's transfer record proves that you received the money. Tell the other person so if they ask, and issue a receipt only if needed.
What not to do
- Issue a receipt for money you did not receive
- Write an amount or date that differs from reality
- Issue several receipts for the same payment
A receipt that does not match the facts can be against the law. Always issue it exactly as the transaction happened.
Keep your own copy
Keep a copy of the PDF you handed over rather than deleting it. With Merge PDFs, you can also gather them by month.
